Minimum number of people for a session to go ahead is 12 people with a maximum of 18 people per session. If there are not 12 people per session then the session will not go ahead.
A committee member, who is also the covid officer of the session, will always be present so there will be 17 slots available to club members.
Groups will be allocated on a first come first served basis, with a reserve list in operation if the number of players exceeds 17. The final 18 players attending the session is subject to final confirmation from the whole committee, once it has been confirmed by the committee, the list of people playing will be circulated, divided up by the groups of 6 and allocated to a court.
There will be preassigned groups of 6 people on each court, and individuals are not allowed to move out of these groups of 6 within the session.
Groups will be notified prior to the session starting and they will be selected on a first come first served basis.
If you are named in a group to play in the session but are unable to attend you must let the committee know at least 24hrs prior to the session beginning.
If a player can’t play and the session has more than 18 players then the first person/people on the reserve list will be contacted.
If you are on the reserve list for a session but don’t play in the session you will HAVE to reply to the notification to the next session as per the normal process that you can attend. You WILL NOT automatically be allocated a spot in the following session. We have made this change due to the 2 sessions that are being run per week and all sessions are in high demand so no guarantees can be made.
The committee reserves the right to allocate slots to players to players that may have played fewer sessions than a player that has played a larger proportion of the sessions who has already indicated that they would like to play in a session.
The committee member/covid officer will send out awhatsapp message only on the Saturday preceding the Tuesday session asking who would like to play the following Tuesday. Replies have to be made visibly known in the HCA covid session whatsapp group by a thumbs up emoticon reply onlyand you must have replied by 1700h BST on Monday preceding the Tuesday session. Groups for the session will then be finalised by the committee and shared.
Groups and participants of the session can be altered by the committee, if necessary and the committee are in agreement.
There is to be no contact at all between players, no handshakes/elbow bumps/fist bumps.
If you display any COVID-19 symptoms, please do NOT attend the session and please call a member of the committee you have got symptoms. Remember to get yourself tested too especially if you have recently attended a session.
You MUST scan the QR code in the sports hall and log the information for track and trace.
You must wear a facemask when entering, leaving and walking through the community centre.
Preparation for session
A member of the committee, who is also the named Covid officer is required to be present for each individual session.
The named covid officer for each session will unlock the sports hall at the start of the session. At the end of the session they will lock the sports hall, they are the only individual allowed to do this.
The named covid officer will get the 3 nets, the 3 new tubes and 3 knock up tubes from the locker and give them to a member from each group.
The covid officers is the only individual allowed to use the locker.
During August and September each player will be charged £5 per session which the committee asks to be paid directly into the club account by bank transfer.
You must use the hand sanitiser in the entrance hall of the community centre before you enter the sports hall.
You must tell the covid officer that you have arrived for the session.
The covid officer or a member of the committee will collect the anti-bacterial wipes and anti-bacterial spray from the agreed place of where they are being kept with the community centre and leave them in a safe place in the hall for when they need to be used at the end of the session.
Starting the session
Sessions will start at 1945h BST and finish at 2115h BST, each group will have a staggered start time, please note your group number for the session and arrive promptly.
Group 3 will play on court 3 (far court) they will enter the hall at 1930 and set their own court up, taking 2 posts from the cupboard, a net from the covid officer, 1 tube of knock up shuttles and 1 tube of new shuttles.
Group 2 will play on court 2 (middle court) and they will enter the hall at 1935 and set their own court up, taking 2 posts from the cupboard, a net from the covid officer, 1 tube of knock up shuttles and 1 tube of new shuttles.
Group 1 will play on court 1 (nearest court) and they will enter the hall at 1940 and set their own court up, taking 2 posts from the cupboard, a net from the covid officer, 1 tube of knock up shuttles and 1 tube of new shuttles.
Racket bags are to be taken with you to your court and not left at one end of the hall.
During the session
Each court will have their own bench/chairs for the non-playing players to sit on. There will be 1 bench the near end of the hall for Group 1. Groups 2 and 3 will have a bench/chairs each down the far end of the hall next to court 3 and they will be separated by the goalposts to ensure social distancing between the players on the separate courts is maintained.
Whilst sat off from your court you are not permitted to go and sit with other members who are not in your designated group. Whilst sat off you are not allowed to go into the bar unless you tell the covid officer running the session that you are voluntarily ending your own participation of the session.
If you use all the new shuttles you will need to ask the covid officer to bring you a new tube of shuttles that can only be used on your court.
Each court has their own tube of shuttles and you can’t share the shuttles between groups/courts.
If you require to use the toilets and on courts 2 or 3 you will need to wait for the court/s nearest to the hall door to stop playing so you can safely walk behind the back of the courts.
You can’t borrow a racket from another player.
You can’t share a drinks bottle between multiple players even those playing on the same court.
Ending the session
The session will end at 2115h BST
The session will end with court 1 putting all of their used knock up shuttles into 1 tube, putting all of the shuttles that have come out of the new tube back into the same tube.
Players from court 1 only will be required to take their net down, wipe down with blue roll/anti-bacterial wipes and anti bacterial spray both posts before returning them to the cupboard.
Players from court 2 will then be required to take their net down wipe down with blue roll/anti-bacterial wipes and anti bacterial spray both posts before returning them to the cupboard.
Group 2 will put all of their used knock up shuttles into 1 tube, put all of the shuttles that have come out of the new tube back into the same tube. This can begin only once court 1 is totally clear and court 1 players have left the hall.
Players from court 3 will then be required to take their net down wipe down with blue roll/anti-bacterial wipes and anti bacterial spray both posts before returning them to the cupboard.
Group 3 will put all of their used knock up shuttles into 1 tube, put all of the shuttles that have come out of the new tube back into the same tube. This can begin only once court 1 is totally clear and court 1 players have left the hall. Group 3 players will also be required to return the chairs/seats they have been using.
The covid officer only will ensure that the hall is totally clear of anything, turn the lights off, lock up and if applicable return the keys to the locker. They will also take appropriate action to store the shuttles correctly.
